BID TO HOST
INVEST IN AFRICA SUMMIT & EXPO BID
Bidding is now open for a formal expression of interest to host INVEST IN AFRICA SUMMIT & EXPO.
The event which is aimed at promoting partnerships for industrialisation and economic development in Africa, takes place in a different city every year, except if the host city successfully bids for the following year.
Bidding process and submission
During the bidding process, INVEST IN AFRICA shall be responsible for
- determining the bidding procedure;
- inviting bids from qualified organisations;
- carefully evaluating all bids; and
- Announcing the preferred host.
The bid to be submitted by the candidate should include clear arguments that demonstrate the candidate’s aptitude to host an INVEST IN AFRICA SUMMIT & EXPO.
Written local, regional and/or national government statements of support should accompany the bid.
Bids may be rejected if they do not comply with these requirements.
The candidate’s bid document must include, but not limited to, documents that:
- Confirm availability of suitable venue for the summit and exhibition;
- Propose a Local Organising Committee as liaison between INVEST IN AFRICA and the host organisation; historically, the LOC comprises five persons, where the chair and at least one person are required to be from INVEST IN AFRICA;
- Provide letters of support from national, regional /provincial/state and municipal authorities, including financial support commitments, as required;
- Provide a written statement from relevant national authorities with their commitment to do their utmost so that all delegates will be granted visas and admission to the country where the summit is held;
- Demonstrate that the host organisation is in possession of sufficient financial support and a loss guarantee, to cover summit costs. The host shall accept financial responsibility for:
i. Travel and accommodation expenses for one preliminary INVEST IN AFRICA pre event visit, if required; usually this is for two persons.
ii. Rental of venue, meeting rooms and exhibition areas;
iii. Remuneration of local staffs;
iv. AV and computer equipment, including simultaneous translation if required;
v. Costs associated with official ceremonies, receptions and social events;
vi. Food and beverage, including lunch and two coffee breaks per day, in addition to receptions;
vii. Printing costs for all summit materials and pre and post-summit publications, in time and number as required;
viii. Travel and accommodation expenses for four to five Keynote Speakers;
ix. Costs of promotion for the summit and exhibition opportunities in relevant national, regional and international media, including press conferences to be held during the summit;
x. Local transportation for summit participants;
xi. Security
Calendar for 2013 summit The bid process takes some months to reach the formalisation of the agreement after the announcement of the successful bidder.
The bidder’s target date Interested government /organisations should take into account that the bid must be submitted before the submission deadline of 20th September 2012.
INVEST IN AFRICA will announce the preferred host at the AFRICA ACHIEVER AWARDS DINNER during INVEST IN AFRICA SUMMIT AND EXPO 2012 on 20th September 2012 in Canada.
Preliminary visits to host candidates who have submitted a formal expression of interest will be conducted by an INVEST IN AFRICA team of two to three representatives.
The purpose of these visits is for INVEST IN AFRICA to get acquainted with the candidate city, team and facilities. The need to conduct such visits shall be decided by INVEST IN AFRICA on a case by case basis.
Presentation The host for 2013 will be announced at the AFRICA ACHIEVER AWARDS DINNER during INVEST IN AFRICA SUMMIT AND EXPO 2012 on 20th November 2012 in Canada.
Creative presentations which capture the imagination of summit participants and therefore contribute to promote attendance at the forthcoming event is highly recommended.
Airline Fare Discount It is appreciated if the bid also includes any discounts by appropriate airlines(s) and/or an appropriate global alliance
Discounts on promotional fares e.g. pex/apex as well as full business and economy fares will assist the bid.
Technical/Professional Tour The appointed LOC should include a planning professional tour giving attendants an in-depth insight into major investment project sites in the city.
Pre & Post Summit Tours The organisation of pre & post-summit tours will be the responsibility of the host organisation. These tours should cover tourist sites of interest. The organisation of pre & post education tours will be arranged in consultation with INVEST IN AFRICA.
